DocuMate

Your documents.
Prepared, sent, and signed.

Create documents. Prepare signing fields. Send them to the right people. Keep every step organized in one workspace.

No card needed. Then free for up to 3 people.

Less paperwork. More progress.

Made for the whole document

Everything your documents need.

One place for the first draft, the final signature, and everything in between.

Visual builder. Every field, in the right place.

Put signatures, initials, dates, text, checkboxes and file uploads exactly where they go on the page, with each person's fields in their own colour.

More about visual builder
  • Auto-fill scans the page for blank lines, drawn lines and printed tick boxes and suggests a field for each; you tick the ones to keep.
  • Beyond signatures: names, emails, phone numbers, amounts, dropdowns and multiple choice.
  • Conditional questions and required answers update as people fill in; formats are checked before a submission is accepted.

Reusable templates. A head start on the next document.

Prepare a document once, then reuse its layout, fields, and variables for the next person.

More about reusable templates
  • Roles like “Client” and “Witness” are filled in each time the template is used.
  • Variables such as {{client_name}} are asked for every time it's used.
  • Paste a list of people and each gets their own copy, link and audit trail.

Signing workflows. The right people. The right order.

No one is asked to sign before the approval their signature depends on.

More about signing workflows
  • People on the same step sign at the same time; the next step is emailed when they finish.
  • Reminders go only to the people whose turn it is, and stop once they've signed.
  • Hand someone your device to sign in person — the audit trail names who hosted it.

Document tracking. Know what needs your attention.

Stop asking whether it has been signed yet — the list already says.

More about document tracking
  • Draft, sent, in progress, completed, declined or expired, at a glance.
  • Automatic reminders every few days, on the schedule you choose when sending.
  • In-app notifications the moment someone opens, signs or declines.

Audit records. Every signature has a story.

When someone asks who signed what, and when, the answer is already written down.

More about audit records
  • Sending, opening, every field filled in and every signature go into the audit trail, with the time and IP address.
  • Attach a completion certificate to the signed PDF, listing signers, copied people and the whole trail.
  • Templates and editor documents keep versions you can compare and restore.

How it works

A little less work. A lot more flow.

The same flow for a one-page NDA and a forty-page contract.

  1. Step 1

    Create or import

Upload a PDF, start from one of your templates, write it in the editor, or import a Word file to edit.

  2. Step 2

    Prepare fields and recipients

Add the people who need to act, decide whether each one signs, approves or gets a copy, and place their fields.

  3. Step 3

    Send and track

Everyone gets their own link — all at once, or step by step when order matters — and you're notified as people open, sign or decline.

Security and records

Access you control. A record you can check.

What DocuMate does today to keep documents with the right people, and to show what happened to them.

  • Roles for your team

Company Admin, Manager, Team Member and Viewer roles, plus custom roles set up by your platform administrator.

  • Folder access

Restrict a folder to named people. Its creator and workspace admins keep access.

  • Two-factor sign-in

Protect an account with an authenticator app, with recovery codes for a lost phone.

  • Sign-in protection

Eight wrong passwords lock an account for 15 minutes and email its owner. New passwords need ten characters and are checked against known breaches.

  • Your devices

See every device signed in to your account, and sign any of them out.

  • Signing links

Each recipient gets their own link. Give it an expiry date, or revoke and reissue it at any time.

  • Where each signature came from

Signatures are stored with the IP address and browser they were made from.

  • A chained audit trail

Each entry is sealed with SHA-256 together with the one before it, and the document page checks that the chain is intact.

FAQ

Good questions. Clear answers.

Do recipients need an account?

No. Each recipient gets their own link by email and signs in the browser, on a phone, tablet or computer. They can download a copy to read before they sign.

Can several people sign the same document?

Yes. Turn on signing in order and each step is emailed when the one before it finishes, with people on the same step signing at the same time. Leave it off and everyone can sign at once. Anyone can also be added just to get a copy.

How do people sign?

They draw, type or upload a signature. Answers typed so far are saved, so a long document can be finished later or on another device. Field prompts and the Decline button can be shown in English, Español, Filipino, Français or Português; the rest of the signing page is in English for now.

What can I bring in from elsewhere?

Upload a PDF, or import a Word (.docx) file as a document you can edit. Moving from DocuSign, Adobe Acrobat Sign, Dropbox Sign, PandaDoc, signNow or Zoho Sign? Import a spreadsheet of the agreements you completed there — titles, dates, signers and references — so your history is in one place. The signed files themselves aren't copied.

What happens after the trial?

A new workspace starts with 14 days on the Business plan, for up to 50 people, with no card needed. After that it stays free for up to 3 people, and everything already signed stays readable and downloadable.

What does Auto-fill do?

On PDFs and designed templates, Auto-fill scans each page for blank lines, drawn lines and printed tick boxes, and suggests a field for each, guessing its type from the label beside it. Nothing is added until you tick it, and the added fields can be taken back out in one step.
